IXO Systems is committed to protecting the privacy of its website visitors. In order to provide you with our products and services, we may need to collect information about you. By registering and creating account with IXO Systems you consent to the collection and processing of your data. This Privacy Policy explains how we use any information we might collect when you visit a IXO Systems website. It also explains our use of cookies. Third party websites accessed via a IXO Systems website are not covered by this Privacy Policy and IXO Systems accepts no responsibility or liability in respect of third party sites. We review this Privacy Policy regularly. Occasionally we may need to make changes or additions to the Policy that may affect how we handle your data. We will indicate on this page when the Privacy Policy has changed so please check this Policy regularly. This Privacy Policy was last reviewed and updated in May 2018.
2. What information will IXO Systems collect?
During our relationship with you we may collect personal information, such as your contact details (e-mail address or phone number), billing details (name, physical billing address, payment method and transaction details), details regarding a browsing or usage session (IP address, Geo-location and/or device unique identifier), correspondences (including those made through or uploaded to our Services), and any other information relating to you which you may provide. Also we may collect non-personal information (this information does not enable us to identify the user of the web site), such as information regarding the visitor's or user's device, operating system, internet browser, screen resolution, language and keyboard settings, internet service provider, referring/exit pages, date/time stamps, etc. This information may be used by IXO Systems, its affiliates and service providers in order to maintain our business relationship and to provide you with the services requested by you. IXO Systems has policies and technical measures in place to safeguard and protect your personal information against unauthorized access, accidental loss, improper use and disclosure.
3. How do we use this information?
Information provided by you may be processed, both by IXO Systems and its affiliates, for purposes including: administering our relationship with you; providing any goods, services or information you have requested; providing you with information about our products and services; and for auditing usage of the site. We may use e-mail address or telephone number provided by you for customer service (e.g. communication, sending tariffs, invoices, reminders or warnings regarding upcoming or late payments etc.). It is important that you are always able to receive such messages. For this reason, you are not be able to opt-out of receiving such service and billing messages unless you are no longer a IXO Systems customer (which can be done by deactivating your account). Your e-mail address also can be used for sending you some marketing information. You have the ability to opt-out of receiving any marketing information as described below under "Marketing". We may use third-party analytics services such as Google Analytics on our website to monitor, analyze and report on the use visitors make of our website. Such data enables us to track down where there may be errors in our websites and to determine how we can improve your user experience on our website. Your information will not be disclosed to any third parties except where such disclosure is necessary for fulfillment of our obligations to you or we are obliged to do so by law. IXO Systems may occasionally need to transfer your personal data to IXO Systems affiliates or partners located outside the European Economic Area ("EEA"). Such data may also be stored outside the EEA and/or processed by members of staff operating outside the EEA for IXO Systems or a partner of IXO Systems. Such individuals may be involved with the provision of support services relating to your engagement with IXO Systems. This does not diminish your rights and IXO Systems will take all reasonable steps necessary to ensure that any personal information that is transferred outside the EEA will be treated securely and in accordance with this Privacy Policy. By submitting your personal information to IXO Systems you agree that you do not object to any such transfer, processing or storage. The transmission of data via the internet is not completely secure and, as such, is at your own risk. Although we will do our best to protect your personal data, IXO Systems cannot guarantee the security of information transmitted to our website. On receipt of your data, IXO Systems will utilize its governance procedures to try to prevent unauthorized access.
4. Protection of Personal Data
All personal information provided by you is stored at Softswitch data storage. We have taken technical and organizational measures to protect the databases. Our security measures are regularly evaluated and adapted so that we can continue to provide a high level of protection. 5. Updating or deleting your personal information
When you register online for any of IXO System's products or services, you can view and update your personal information by logging onto the site and following the relevant instructions. To ensure any details we hold about you remain accurate please update your personal information if it changes. If you close your account we may retain some personal information in order to comply with legal obligations or for other proper purposes such as collecting outstanding debts or resolving disputes. When you request to be removed from further marketing offers, you will be added to a suppression list to ensure your request is complied with. When IXO Systems has reasonable doubts concerning the identity of the person making the request, we may request the provision of additional information necessary to confirm the identity. All personal data is processed in line with the requirements of The Privacy and Electronic Communications (EC Directive) Regulations 2003 and General Data Protection Regulation (GDPR) (EU) 2016/679.
6. Marketing
The processing of personal data for marketing purposes is carried out in accordance with the requirements of national legislation implementing the Privacy and Electronic Communications Directive (2002/58/EC). Occasionally we may contact you with information about other IXO Systems products and services which we think may be of interest to you but will only do so when you have given your prior consent to being contacted in this way. If you no longer wish to receive marketing information, or if you have a specific preference for the communication channels we use to inform you please contact us by e-mail or at the address listed below.
7. How we use cookies
When you visit a IXO Systems website we may send a cookie to your computer. This small file does not store any personal information but it does identify your computer and any particular areas of interest. By default, we use several persistent cookies enabling us to respond to any preferences you express and to make your future website visits more efficient. Save for the use of cookies, we do not automatically log data or collect data with the exception of information you specifically provide to us. 8. Retention time
Your data is kept for the time necessary to provide the service requested by you, or stated by the purposes outlined in this document, and you can always request that IXO Systems suspend or remove the data.
9. Your rights
We respect your privacy rights and provide you with reasonable access to the personal data that you may have provided through your use of our services. If you wish to access, amend or delete any personal data we hold about you, you may contact us. At your request, we shall have any reference to you deleted or blocked in our database. You have a right to request a copy of the personal information IXO Systems holds about you (we may charge a small administrative fee for this) and to have any inaccurate information about you corrected. You have a right to obtain from IXO Systems restriction of data processing and right to data portability. All the requests shall be processed within one month of receipt of the request with the exception of complex requests when this period may be extended by two further months. You also have the right to request we stop using your details for marketing activities and other promotional activities.
